How to reschedule or cancel an appointment (for providers)

TL;DR: Ask Vera to reschedule or cancel an appointment for you, or do it manually from your Calendar by editing the appointment.

Overview

As a provider, you can reschedule or cancel appointments in two ways: ask Vera to handle it, or do it manually from your Village calendar.

Option 1: Use Vera

The fastest way to reschedule or cancel is to ask Vera:

  • To reschedule: "Vera, reschedule my 2pm appointment with Aiden to Thursday at 3pm"

  • To cancel: "Vera, cancel my appointment with the Rivera family tomorrow"

Vera will update the appointment and notify the family.

Option 2: Reschedule manually

  1. Open the Village mobile app or go to portal.village.health.

  2. Go to your Calendar.

  3. Click on the appointment you want to update.

  4. Select Edit Appointment.

  5. Update the date and time to the new schedule.

  6. Save your changes.

Option 2: Cancel manually

  1. Open the Village mobile app or go to portal.village.health.

  2. Go to your Calendar.

  3. Click on the appointment you want to cancel.

  4. Update the Status to Canceled.

  5. Select the appropriate cancellation reason.

  6. Save your changes.

After canceling

If you need to reschedule a canceled appointment, you can either:

  • Update the date and time on the existing appointment, or

  • Create a new appointment from your calendar

Frequently asked questions

Will the family be notified?
Yes. Families receive notifications when appointments are rescheduled or canceled, whether you use Vera or do it manually.

Can Vera reschedule multiple appointments at once?
Yes. Just tell Vera what you need β€” for example, "Cancel all my appointments tomorrow" or "Move my Friday appointments to Monday."

What cancellation reasons are available?
You'll see a list of appropriate cancellation statuses and reasons when you update the status to canceled.
