After a family is matched with you through Village, there's a brief intake process before you can see them. This article explains what to expect, how long it typically takes, and how to check when a patient is ready for their first session.

How long does intake take?

Most intakes are completed within 1–3 business days. The timeline depends on a few factors:

  • How quickly the family completes their intake forms

  • Insurance verification (if applicable)

  • Any additional documentation needed

Village's care team works to move things along as quickly as possible, and families receive reminders to complete any outstanding items.

How to check if a patient is ready to be seen

You can check the status of any patient's intake in real time:

  1. Open the Village web portal (portal.village.health).

  2. Go to the Patients tab

  3. Look for the Appointment Readiness section

  4. Find the patient you're checking on

The Appointment Readiness section shows real-time progress on intake steps and clearly indicates when the patient is ready for you to schedule their first session.

What does Appointment Readiness show?

The Appointment Readiness section tracks key intake milestones, such as:

  • Intake forms completed

  • Insurance verified (if applicable)

  • Consent forms signed

  • Any outstanding items that need attention

Once all items are complete, the status will update to show the patient is ready to be seen.
